How to set up PIN lock on shared computers

If several employees in your office work at the same computer, turn on shared computer lock. The screen locks after inactivity, and each person signs in as themselves with a personal 4-digit PIN — in a couple of seconds, without a password and without reloading. All actions are recorded under whoever signed in.

The lock works in the browser on a computer. The mobile app has no lock screen.

Important

While the feature is on, company employees sign in only with a code from an email or a passkey — password sign-in is turned off everywhere, including in the mobile app. Partners, agents and guests sign in as before and do not need a PIN.

Who can do what

ActionWho
Turn on the lock and set the inactivity timeMain administrator
Make a computer shared, manage the list of computers, reset employees' PINsMain administrator — all computers; administrator — computers of their own branch
Set their own PIN and sign in with itAll employees except partners, agents and guests

How to turn on the lock

  1. Open the company settings, the “Security” tab.
  2. Turn on the “Enable PIN lock” toggle.
  3. Specify after how many minutes of inactivity to lock the screen: from 1 to 120, 5 by default.
  4. Click “Save”.

While the lock is off, nothing changes for the company.

How to make a computer shared

Registration is done on the computer itself, in the browser in which employees will work.

  1. On this computer, open the company settings, the “Security” tab.
  2. In the “Shared computers” block, enter a name, for example “Reception 1”.
  3. Click “Make this computer shared”.

The computer remembers the branch in which it was registered.

Tip

Registration is stored in the browser. In another browser or browser profile, the computer will not be shared, and after the site data is cleared, it will have to be registered again.

How to set a PIN

  1. Sign in with a code from an email or a passkey.
  2. On a shared computer, RentProg will immediately offer to set a PIN. You can also set it later: profile, the “Security” tab, the “PIN for shared computers” block.
  3. Enter 4 digits, repeat them and click “Save PIN”.

After your first sign-in on a shared computer, you appear on its lock screen. An already set PIN can only be changed with your current password. If you forget your PIN, click “Reset PIN” in your profile and set a new one the next time you sign in with a code.

When the screen locks

  • After the set inactivity time: no mouse movement, key presses or touches in any tab.
  • Manually: the “Lock” item in the user menu or the keyboard shortcut Ctrl+Shift+L (Cmd+Shift+L).
  • When a page is opened, if the computer has been idle longer than the inactivity time, for example after sleep.

On a shared computer, the user menu shows “Lock” and “Switch user” instead of “Exit”. There is one lock for all browser tabs.

How to unlock or switch employees

  1. On the “Computer locked” screen, select yourself. If there are more than six employees, find yourself using the “Find yourself” field.
  2. Enter your PIN and click “Unlock”.

The same employee continues working from where they left off: the open page and entered data remain. If another employee signs in, RentProg opens their start page, and the previous employee's work is closed along with any unsaved data — RentProg warns about this before switching. The previous employee's other tabs are closed.

If you are not on the lock screen, click “Another employee” and sign in with a code or a passkey — after signing in, you will appear in the list.

Important

After 5 wrong PINs in a row, PIN sign-in on this computer is closed for you for 15 minutes. After 10 wrong PINs within a day — until you sign in with a code or a passkey: click “Forgot PIN? Sign in with a code”.

How to manage shared computers

The “Shared computers” block shows the computer's name, the branch, who registered it, the last activity and the employees who have signed in on it.

  1. Open the company settings, the “Security” tab, the “Shared computers” block.
  2. To find out who signed in and when, open the computer's “Log”: it shows registration, sign-ins, locks, unlocks, employee switches, wrong PINs and PIN resets.
  3. To stop an employee from signing in with a PIN on this computer, click “Remove from computer”; to make them set a PIN again — “Reset PIN”.
  4. To make the computer no longer shared, click “Revoke”: PIN sign-in on it will stop working.

How to turn off the lock

  1. Open the company settings, the “Security” tab.
  2. Turn off the “Enable PIN lock” toggle and click “Save”.

The lock screen disappears, and employees can sign in with a password again.
