How to send a contract for e-signature via DocuSeal
DocuSeal is an international e-signature service. RentProg fills your contract template with booking data and sends it to DocuSeal. Two parties sign: the company and the client. Once everyone has signed, the document can be downloaded from the booking card.
Who can use it
| Action | Who |
|---|---|
| Open the “DocuSeal” panel | Companies whose plan includes DocuSeal; during the trial period the panel is open |
| Set or delete the “API token”, change the “DocuSeal Domain” | Manager and above |
| Send a contract for signing | Company employees; not available to partners, agents, and guests |
A company uses one e-signature service. If a key for another signing service is already set in the profile, the “DocuSeal” panel is inactive.
How to connect DocuSeal
- Sign up for DocuSeal using the “Register in DocuSeal and get an API token” link in the “DocuSeal” panel and get a token in the service's dashboard.
- Open the company profile, the “Integrations” tab, and expand the “DocuSeal” panel.
- Enter the “API token” and save it with the icon in the field.
- If you run DocuSeal on your own server or in another cloud, specify the “DocuSeal Domain” and save it with the icon. An empty field means the
docuseal.eucloud. - Turn on “Enable DocuSeal”.
The toggle becomes active only after the token is saved. A saved token is not displayed: the field shows the hint “Set — leave blank to keep it”.
How to send a contract
- Open the booking card and click the icon with the tooltip “Send contract for signing via DocuSeal”.
- Choose a template in the “Select a template” field.
- In the “Notification Method” block, choose the client's email or SMS.
- Click “Send”.
The icon is visible when DocuSeal is enabled, the token is set, and the client card has an email or phone number. The contract is built from the branch's document templates.
Who receives the invitation to sign:
- the company — at the branch's bookings email, or, if it isn't specified, at the account owner's email;
- the client — by email or SMS, as chosen in the sending window. RentProg converts the phone number to international format on its own.
Important
If SMS is selected but the client has no phone number, or email is selected but there is no email address, the contract won't be sent. Complete the client card first.
Signing statuses
A DocuSeal document in the booking card shows its status:
| Status | What it means |
|---|---|
| Awaiting signature | The contract has been sent; not everyone has signed |
| Signed by all | The company and the client have signed |
| Declined | One of the parties refused to sign |
| Expired | The signing deadline has passed |
The status changes when DocuSeal notifies RentProg of the signing; an open booking card shows a notification right away.
What you can do with the document
- “Sign on behalf of company” — open the company's signing page while the company hasn't signed yet;
- “Open signing page” — open the contract in DocuSeal;
- “Download signed document” — available once the contract is signed by all.
If it won't send
| Message | Cause |
|---|---|
| Invalid DocuSeal API token | The token in the “DocuSeal” panel doesn't work: get it again from the DocuSeal dashboard |
| Client has no email or phone. Please add contact information. | The client card has no contact for the invitation |
| No templates available | The branch has no document templates |
