How to build a company report

Analytics builds reports for a period. After you start a report, the system opens its page automatically. The calculation runs on the server; wait for it to finish on the report page.

Important

Analytics is not included in every subscription plan. If the page asks you to change your subscription plan, that's a limitation of your plan.

This section is available to users with the “Main Administrator”, “Branch manager”, and “Guest” roles.

How to build a report

  1. Open analytics.
  2. Choose the report type — it determines which settings appear below.
  3. Set the period with two dates.
  4. Choose the branch if you have access to all of them.
  5. Check the additional settings if you need them for this particular question.
  6. Start building — the system opens the report page automatically.
  7. Wait for the calculation to finish on that page. Later, you can reopen the report by double-clicking its row in the list.

Five report types

TypeWhat it covers
“General by company”A summary of the company's money
“General by cars”Income and expenses by vehicle
“General by client”Client behavior and settlements
“General by staff”Employee results
“General for bookings”A breakdown of bookings

The type is chosen first: it determines which settings appear below and which button builds the report.

Period and branch

The period is set with two dates — start and end. The difference between them must not exceed 366 days. The branch is chosen separately, but the choice is available only to those who see all branches; for everyone else, the report is built for their own branch.

Additional settings

Two settings don't appear for every type:

  • “Including the purchase / sale of property” — for the “General by company” and “General by cars” reports. Includes the purchase and sale of vehicles in the calculation, not just operating money.
  • “Excluding partner payments” — only for the “General by cars” report. Shows the result before settlements with partners.

Tip

These settings change not the layout but what the amounts include. Two reports for the same period with different checkboxes are two different answers to different questions, not a discrepancy in the data.

Why a report doesn't appear right away

The report page opens as soon as the report is created, but data appears after the calculation finishes. The page shows a waiting state while it runs. If it keeps waiting, refresh the page later.

In the report list, the pending icon changes to a ready mark after the calculation. You can reopen the report by double-clicking its row; there is no need to start a new one.

When to include purchases and sales

The setting changes not the layout but what the amounts include, and it fits different situations differently:

  • for a short period — turn it off. Buying a single vehicle will overshadow the whole operating picture of the month;
  • for a year — turn it on. Over a long period, purchases and sales are part of the result.

Tip

Two reports for the same period with different checkboxes are not a data discrepancy but answers to different questions: “how did operations perform” and “how much did the company earn in total”.

Why a report looks wrong

The vast majority of “wrong” reports are caused by wrong source data, not by the calculation.

Check in this order:

  1. Operation groups in the cash desk — an operation in the wrong group distorts the report while its amount stays correct;
  2. payment items on bookings — a deposit recorded as rent inflates revenue;
  3. technical bookings — they are not included in calculations, and if service downtime is recorded as a regular booking, occupancy will be overstated;
  4. demo data, if it wasn't deleted during the first launch.

Important

The report is calculated on the server from what has been recorded. There is no way to correct it “on top” — you fix the source records and recalculate the report.

What you shouldn't compare

The “General by company” and “General by cars” reports answer different questions and treat partner settlements differently. There is no need to reconcile them amount for amount: a difference here is expected, not an error.
