What booking payment statuses mean
The comparison is made not with the rental cost but with the full amount due — including all add-ons and, until the vehicle is returned, the deposit.
| Status | What it means |
|---|---|
| “Underpaid” | Less than the full amount has been paid, and the whole-number parts differ |
| “Paid” | The whole-number parts of the amount paid and the full amount match |
| “Overpaid” | More than the full amount has been paid, and the whole-number parts differ |
The fractional part is discarded, not rounded. For example, a payment of 99.20 against a total of 99.90 counts as “Paid”.
The “Underpaid” filter doesn't show everyone who underpaid
Important
The filter selects debtors, not every booking with an underpayment. It includes only bookings where the rental is already in progress or has already ended. Technical bookings are excluded.
A future booking with nothing paid won't appear in the filter — it hasn't become a debtor yet. However, in the list and on the board it will have its own mark showing that no payment has been made.
This distinction is intentional: a client who booked for next month and hasn't paid is not the same case as a client who is driving around unpaid right now.
Where overpayment comes from
Most often from a deposit paid together with the rental payment, or from a recalculation after the rental period was shortened. Overpayment is not an error: it means part of the amount is to be refunded when the vehicle is returned.
Don't confuse it with debt
The payment status applies to one booking. Overall debt is calculated differently and may not match.
How to build a list of underpaid bookings
- Open the bookings list.
- Turn on the payment status filter — see finding a booking in the list.
- Remember that future bookings won't be included: look for them by the payment mark in the list itself.
What to do with an overpayment
- Open the booking card and see what caused the overpayment: the deposit or a recalculation.
- Check whether the vehicle has been returned: until it is, the deposit is included in the total and the overpayment may be only apparent.
- Refund the deposit at return — the options are covered in handling the deposit.
- Refund the rest of the recalculation as a separate cash desk payment.
