What the client list shows
| Column | What it means |
|---|---|
| Number | Client ID |
| Name | Client's name |
| Phone | Contact phone |
| “E-mail” | Email address |
| “Balance” | The amount remaining after client top-ups and charges |
| Date of birth | Needed to check age and driving experience |
| Tax ID | For clients that are legal entities |
A separate mark shows that the client is a legal entity: you can issue invoices to them. Available payment methods, including cash, depend on company settings.
What the balance means
The balance is the total amount remaining after client top-ups and charges. It is not calculated as the sum of debts on their bookings. Booking debt and payment status are tracked separately.
Don't reconcile the balance against a single booking
Money transactions change the balance. To check a specific rental, look at its debt and payment status. The client balance alone does not show them.
Five client categories
| Category | Meaning |
|---|---|
| New | Hasn't rented yet |
| Loyal | Rents willingly |
| Regular | Comes back regularly |
| Problematic | There were difficulties |
| Very Problematic | Shouldn't be rented to |
The category is visible to whoever opens the client next time — including an employee who doesn't remember them.
The “Problem Client” mark is not a category
The problem toggle opens a field for describing the problem and does nothing to the category. These are two independent mechanisms: one stores text, the other a label.
If the client really shouldn't be served, set their category. The problem mark alone isn't enough for this: it doesn't catch the eye during booking.
Client discounts
A client can have a percentage discount and a fixed discount. They are applied automatically as soon as the client is added to a booking — you don't need to enter them separately.
List filters
The list can be narrowed down to legal entities and to debtors — the two most frequent questions about the client database.
Deleting a client
Deletion is irreversible
The system won't let you delete a client with bookings, rent-to-own contracts, or linked deposits. But debts, fines, and invoices don't prevent deletion: they remain in the system, having lost their link to the client.
So before deleting, check not only rentals but money too: otherwise amounts without an owner will appear in reports.
Card data is saved with a button — a field that was changed but not saved returns to its previous value.

- Narrow it down with filters: legal entities or debtors.
- Open the card by double-clicking the row.
How to mark a client who shouldn't be served
- Open the client card.
- Set the category — it's what will catch the eye of whoever books the rental.
- If you need to explain the reason, turn on the problem mark and describe it in the field that opens.
- Save with the button.
