How to create a booking

If prices have not yet been set for the selected vehicle, the cost calculation will not appear. The “Go to prices” button opens the vehicle’s pricing settings. Set the prices, then return to booking creation and recalculate the cost.

How to create one

  1. Open booking creation.
  2. Select the client. If they don't exist yet, add them: a booking won't save without a client, including a technical one.
  3. Select the vehicle and set the start and end dates. The system immediately checks whether the vehicle is available: availability is calculated with the buffer between rentals.
  4. Wait for the price calculation — saving is blocked until it finishes, so that a figure “from the previous dates” doesn't end up in the booking.
  5. Add what you need: additional drivers, hours beyond full days, equipment, washing.
  6. Check the amount due — it also includes the deposit until the vehicle is returned.
  7. Save.

Important

If saving fails and no error is visible, check the four required fields: client, vehicle, start date, end date. If any of them is empty, saving stops.

The basics

Client, vehicle, start and end dates. The number of full days is calculated from the dates, and the rental cost from the number of days and the price.

What is added to the calculation

  • Additional drivers — added beyond the main one, each with its own cost;
  • Extra hours — beyond full days;
  • Equipment — child seats (including infant seats for children under one), boosters, chargers; each with its item and quantity;
  • Washing — if it is paid separately.

All of this goes into the amount due rather than being stored separately.

Custom fields

A booking has several free-form fields that the company fills in as it sees fit. The system doesn't interpret them — they are there to store things that aren't in the standard set.

Tip

The vehicle is selected by its code — a short, meaningful code saves time when you create bookings often.

How a client is found

A client is searched for by last name, first name, or phone number. Clients with identical full names are told apart by phone number — use it if the list shows two identical names.

If the client doesn't exist, you add them right from here without interrupting the booking.

Where else bookings come from

Besides manual entry, requests come in from the website form and via the API. Such bookings land in the same list and are handled the same way.

Pickup and return locations

As soon as you fill in the pickup or return location, a delivery cost field appears in the calculation. By itself it stays at zero: the system doesn't know your delivery rates and doesn't fill in an amount.

Important

If you filled in a location, enter the cost too. A zero field looks like “delivery is free,” and that's exactly how it will appear in reports.

Additional fields

Custom booking fields have variables for insertion into document templates. This is a way to get into the contract things for which the system has no dedicated field.
