What user roles there are
Each user has exactly one role. The names below are the ones the system itself shows.
| Role | Who it is | What is available | What is not |
|---|---|---|---|
| “Main Administrator” | The account owner | Everything, including withdrawing money and managing branches | — |
| “Branch manager” | Runs the branch | Cash desks, analytics, operation checks | Withdrawing money, creating branches |
| “Manager” | Shift lead | Employees' cash desks, company settings | The company cash desk, analytics |
| “Employee” | Day-to-day work | Their own work and their own cash desk | Other people's cash desks, settings |
| “Partner” | Owner of vehicles handed over for rental | Only their own vehicles, read-only | Any changes |
| “Agent” | External intermediary | Creating bookings | Company data |
| “Guest” | User with mostly viewing access | Viewing; connecting and disconnecting employees in Traccar under the conditions below | Creating employees and editing their details in the card |
The “Guest” role has an exception to viewing access: Traccar actions are available in the employee list. An employee without a Traccar account can be connected if the integration is enabled for the company and the employee’s role allows access to it. An employee with an existing Traccar account can be disconnected even if the integration is no longer enabled.
Only “Main Administrator”, “Branch manager”, and “Manager” can create employees and agents. Only “Main Administrator” and “Branch manager” can edit employee details, including enabling or disabling an account.
Balance and access restriction banners are visible to “Main Administrator” and “Branch manager”. Under a hard access restriction, the lock screen is shown to users of every role.
“Employee”, “Manager”, “Branch manager”, and “Main Administrator” can activate or deactivate a vehicle. “Partner”, “Agent”, and “Guest” cannot. See vehicle fields for billing conditions after deactivation.
There is no “Administrator” role in the system
The interface calls this role “Branch manager”.
“Main Administrator” differs by the ability to withdraw money and manage branches. Only this role can assign or remove the “Main Administrator” role and change users’ special permissions.
The role is not chosen in the add form
The add employee form has no role field: a new employee is created with the “Employee” role. You can't choose a different role on creation — it is changed afterwards, in the user card.
How to assign a role
- Open the employees section.
- Open the card of the user you need. If they don't exist yet, add the employee: they will be created with the “Employee” role.
- Choose the role you need and save.
For “Agent”, there are separate access settings: “Can edit reservations”, “Account access”, “Can accept money”, and “Can accept prepayment”. Employees also have a “Can change company branch” setting. Only “Main Administrator” can assign these special permissions; they do not change a user’s role.
