How to configure inspection templates

A template defines the photo zones, whether they are required, hints and example photos. The “Main Administrator”, “Branch manager” and “Manager” roles can configure templates and assign them to vehicles. First, connect and enable the module.

Standard template

The set of zones depends on the company's equipment type. For passenger vehicles, the standard template has 14 required zones: front, front left corner, left front and left rear sides, rear left corner, rear, rear right corner, right rear and right front sides, front right corner, roof and windshield, wheels, mileage and fuel level, and interior.

Motorcycles, bicycles, boats, construction machinery, equipment, trailers and motorhomes have their own zone sets. Under “Standard template”, you can view the zones, hints and “Required” or “Optional” labels.

How to create a branch template

  1. Open the company settings, the “Rental” tab and the “Photo damage inspection” block.
  2. Click “Inspection templates”.
  3. Click “Customize”. A “Branch template” appears — a copy of the standard template in the branch's language.
  4. Enter the “Template name” and configure the zones using the table below.
  5. Click “Save”. “Template saved” confirms that it was saved successfully.
ElementWhat you can change
“Zone title”The name the employee sees when taking a photo
“Hint”A description of the required photo
“Required”Whether the zone must be photographed to complete the inspection
“Move up”, “Move down”The order of zones
“Delete zone”Remove the zone from the template
New zone field and “Add zone”Add a zone at the bottom of the list

How to attach an example photo

  1. Save the template if the zone was just added. Otherwise, “Save the new zone before attaching a photo.” appears.
  2. Click “Attach example photo” for the zone.
  3. Select a JPEG or PNG image up to 25 MB. HEIC is converted to JPEG.

“Remove example” removes the zone's example. When taking photos, the example helps with the angle if there is no photo of this zone from the vehicle's previous completed inspection.

How to reset the template

  1. Click “Reset to standard” in the branch template.
  2. Review “Zones and example photos will be replaced with the standard ones. Continue?” and confirm if you want the replacement.

Resetting replaces zones and examples

Your configured zones and example photos will be replaced with the standard ones. Inspections already started or completed will retain their zones.

How to assign a template to a vehicle

  1. Open the vehicle card and the “Damage” tab.
  2. In “Inspection template”, select the branch template or “Default (branch or standard template)”.

A new inspection first uses the template assigned to the vehicle, then the branch template, and then the standard template if no branch template exists.

What happens to inspections already started

Changes apply to new inspections. Inspections already started or completed retain their zone set. The return uses the pickup zones for that rental, even if the template has changed since pickup.

Next, perform an inspection and view its results in the report and damage passport.
