What a partner sees in the system

A partner is the owner of vehicles handed over to the company for rental. They need access to data on their own vehicles and do not need access to everything else.

Viewing permissions

PermissionWhat it opens
Booking cardDetails of rentals of their vehicle
MaintenanceRepair and servicing records

The permissions are independent: you can show a partner maintenance without opening booking cards.

Restriction by categories

You separately set which categories of income and expenses the partner sees. This is not the same as permissions: permissions decide whether a section is open, and categories decide which records are shown in it.

This way a partner sees the expenses for their vehicle without seeing the company's entire cost structure.

Tip

A partner booking is marked with a separate flag — it distinguishes the rental of a partner's vehicle from the rental of your own.

How a partner gets access

The partner is given a separate employee account with the partner role, linked to their partner card. Without an account, the partner remains a record in the system but cannot sign in.

A partner does not change anything

They do not edit data and do not create or modify bookings. Their access is read-only — for the vehicles and sections opened to them.

The partner's vehicles

Vehicles are linked to a partner and unlinked from them. The link determines what they will see: rentals, maintenance and money only for their own vehicles.

Payout calculation

The payout is calculated automatically for the selected period. The basis of the calculation is set by the partner's settings — it determines what goes into the base at all.

Income transactions in categories linked to the partner are included in the calculation. Deposits, internal transfers and additions to a client's balance are excluded from the payout. Refunds count with the opposite sign. Payments in the “Rent-to-own” category also count as partner income, even if that category is not selected in the partner's category list. Property sales are excluded.

The partner report is exported as a spreadsheet for reconciliation.

Removing a partner

Disabling takes away access. Bookings for their vehicles remain in reports — the payout history is not lost.

How to add a partner

  1. Create the partner in the partners section.
  2. Link vehicles to them — everything they will see depends on this link.
  3. Set the viewing permissions: booking cards, maintenance.
  4. Specify the income and expense categories to show them.
  5. Create an account for them with the partner role — without it, they cannot sign in.

How to calculate a payout

  1. Open the partner card.
  2. Select a period — the system calculates the payout for it by itself, according to the calculation base setting.
  3. Export the report as a spreadsheet and reconcile with the partner using it.
