How to turn a lead into a booking
Conversion is the moment an inquiry becomes a deal.
Conversion steps
- Open the lead and start the conversion.
- If no client is linked yet, check the details, enter a first or last name, and click “Create client”. Vehicle selection becomes available once the client is linked.
- Set the dates and pick a vehicle — availability and price are shown right here.
- Check the total: price per day, deposit, full cost.
- Click “Select”, fill in the booking form that opens, and save it. The booking is created with the “Active” status. Then confirm its link to the lead in a separate dialog. If you decline, the booking remains created but is not linked to the lead.
- Mark the lead as won: conversion by itself does not move the lead's stage.
What you see when picking a vehicle
| Column | What it means |
|---|---|
| “Car” | What is being offered |
| “Per day” | The rate for the selected term |
| “Total” | The full cost |
| “Deposit” | The amount held |
All four values are shown at once so you can quote the client a price without leaving the conversion.
Tip
The price per day depends on the duration range and the season, so it may change when you change the dates — this is not a selection error.
Picking a vehicle right from the lead
During conversion, the vehicle is searched by dates and availability is visible immediately — no need to open the calendar separately. From the selection you can jump to the occupancy calendar if you need to see what surrounds the rental.
If you applied dates and a vehicle from a CRM assistant suggestion, they are used when you first open vehicle selection. The matching vehicle is marked “Suggested by assistant”. A selection already in progress is not overwritten. Check the dates, availability, and current price before creating the booking.
When an existing client is used
The lead is linked to an existing client if there is exactly one phone number match among the company’s clients across all branches. Demo records are excluded. Email is used only when the phone field cannot provide a number for comparison. If there are no matches or several matches, a new client is created.
Tip
Before converting a returning client, check their phone number. A matching email with a different phone number will not merge the client cards.
What happens to the lead after conversion
The created and linked booking appears among the lead’s linked objects. The lead’s stage stays unchanged until you mark it as won manually or configured automation runs. The link works both ways: from the lead you can see the rental, and from the rental — where it came from.
An existing booking can be linked to a lead separately — for example, if you created it before working on the lead.
Won without a booking
A lead can be marked as won without a rental. This is useful when there is a result but the booking is made elsewhere.
Important
With automatic closing of won leads enabled, the lead closes on its own — on vehicle pickup or return, depending on which event is selected in the settings.
