What a technical booking is for

A technical booking marks a vehicle as occupied during repairs, relocation, preventive maintenance, or downtime by company decision.

You still have to specify a client

A technical booking is saved with the same required fields as a regular one — the client among them. You can't leave the field empty: saving will fail.

Create an internal client for such cases (for example, named after your company) and use it in all technical bookings — that makes them easier to distinguish from regular rentals.

The “Repair” toggle

When creating a technical booking, a separate repair flag is available. It marks a booking created for a period of planned work.

Tip

For repairs, combine a technical booking with the vehicle status “Under repair”. An active booking marks the vehicle as occupied during the work and excludes it from availability searches for overlapping periods. The status removes it from the “Available” column on the fleet board. The status alone does not exclude it from period searches: by default, these searches include “Under repair”.

How it differs from a regular booking

The “Technical” toggle is independent of the other booking states. An active technical booking counts in vehicle availability searches but does not prevent saving a new booking for the same time. When selecting a vehicle manually, check for overlaps yourself.

How it affects reports

In the bookings report, technical bookings are excluded from rental counters: a vehicle under repair is occupied, but it isn't earning and shouldn't spoil the revenue figures. The vehicle report uses a different rule: a completed technical booking counts toward the vehicle's occupied days and therefore its occupancy.

Technical bookings are excluded from the daily totals regardless of the amounts entered. When creating one, the form sets rental and deposit amounts to zero but may keep amounts for delivery, washing, equipment, and other services.

The home page has a “Technical reservations” widget for them. An active technical booking with an assigned employee also appears in that employee's “Personal plan for the day” if it starts or ends today. It can appear in both widgets at the same time.

Tip

If a vehicle is taken out of service for a long time, you can deactivate it on its card, but only if it has no active bookings. A new technical booking is active by default and prevents deactivation. After deactivation, the vehicle is no longer offered in the new booking form.

How to create a technical booking

  1. Open booking creation.
  2. Turn on the “Technical” toggle — the rental calculation fields will be hidden.
  3. If this is planned work, also turn on the “Repair” toggle next to it.
  4. Specify the vehicle, the period, and the client — create a single internal client for this, as described above.
  5. Describe the reason in the description field and save.
  6. For a repair, separately set the vehicle's status to “Under repair” — the active booking marks it as occupied during the work, and the status excludes it from the “Available” column.
