How the shift schedule works

The schedule is a row for each employee with shift bars on a timeline of days. It answers the question “who is in today”.

Six shift types

The types fall into two groups, and the group matters more than the specific type:

GroupTypes
The employee is workingWork, On duty, Night attendant
The employee is absentVacation, Unpaid vacation, Sick leave

A shift uses its template color if one is set; otherwise, it uses the category color. The template color therefore takes priority over the shift type color.

Tip

A day off is not marked as a separate type. A day with no shift scheduled is a day off.

Full-day and hourly shifts

A shift can be one of two types, and they occupy a day cell differently:

  • full-day — takes up the whole day;
  • hourly — starts at a set minute and lasts a set time.

An hourly shift can run past midnight. Such a night tail occupies the beginning of the next day and competes there with other shifts for space in the row.

If an employee has several full-day shifts on one day, they share the cell and stay in one row — the row doesn't grow because of it.

Scrolling and loading

The schedule loads as you scroll: when you approach the edge, the window expands by a month, and only the new segment is loaded, not the whole schedule again.

So the first time you open it, a limited period is shown — this is not data loss. Scroll to the date you need, and the shifts will appear.

Tip

Scrolling again over a segment that's already loaded doesn't duplicate anything: shifts that are already there are not added a second time.

Daylight saving time

The schedule layout is calculated by calendar days, not by hours. So in the week of the switch to or from daylight saving time — when a day has 23 or 25 hours — shift bars don't drift relative to the days.

How to add a shift

  1. Open the shift schedule.
  2. Scroll to the date you need: the schedule loads as you scroll, and the first time it opens it shows a limited period.
  3. Click the intersection of the employee's row and the date column.
  4. Choose the shift type; for an hourly shift, enter the start and end.
  5. To add a second work type for the employee on the same day, click the shift and choose to add one.

A shift can't be edited once added

The menu of an existing shift offers “Remove shift” and — only for a full-day work shift — “+ work type for this day”. Hourly shifts and absences (vacation, sick leave) don't have the second item at all.

The time or type of a shift that's already added can't be changed under any circumstances: it is removed and added again.

A day off isn't added separately: a day without a shift is a day off. Users with the “Manager”, “Branch manager”, and “Main Administrator” roles can change the schedule. It is available if the company's subscription plan includes “Employee scheduling” or the trial period is active.
