How to work with the leads board
The board lays out leads by pipeline stage: a column is a stage, a card is a lead. Drag a lead between working stages. To mark it as won or lost, open its card, select the corresponding final stage, and confirm.
Filters
| Filter | What it keeps |
|---|---|
| “My leads” | Leads assigned to you |
| “Unread” | Leads with new messages |
| “Important” | Leads marked as important |
| “Source” | Where the inquiry came from |
| “Archived” | All archived leads, including won and lost leads |
Tip
The unread filter combined with the “mine” filter answers the question “what needs my reply right now”.
The number in the “Unread” button counts leads with unread messages in the selected pipeline, with the current filters applied. The “Unread in this stage” counter shows the same count for one column. These are counts of leads, not individual messages.
Lead number, link, and columns
The card header shows the lead number. Click “Copy lead link” next to it to send a colleague a direct link. The link opens the lead within the recipient's CRM access permissions.
Click a column heading to “Collapse column”; click it again to “Expand column”. Leads stay in their stage, and the counters remain visible when the column is collapsed.
Working with the board
- Open the board and select a pipeline.
- Sort through new leads — start with the unassigned ones: no one in particular sees them.
- Assign an owner and move the lead through the stages as the conversation progresses.
- Bring the lead to a result: mark it as won or lost. For a lost lead, specify a reason. Creating a booking does not close the lead by itself.
Closing a lead
When marking a lead as lost, you specify a reason. This isn't a formality: closing reasons are the only source of an answer to why inquiries don't turn into rentals.
Reopening a closed lead is restricted by role
This is done by changing the stage and requires confirmation. Only employees with the “Branch manager” or “Main Administrator” role can do this.
Archive
Closed leads go to the archive automatically after 90 days without activity. Open leads are not archived automatically. An employee with the “Branch manager” or “Main Administrator” role can archive them manually using “Archive” in the card menu.
An archived lead doesn't move through stages
The system lets you edit the fields of an archived lead, but lifecycle actions — moving to a stage, marking as won or lost, conversion, linking a booking — don't go through on an archived lead.
If you need to work with the lead, first restore it from the archive. Restoring, like reopening a closed lead, is available to employees with the “Branch manager” or “Main Administrator” role.
Tip
This leads to a practical rule: an open lead that is going nowhere should be closed with a reason, not left hanging. It will then be archived automatically after 90 days without activity. An open lead can only be archived manually.
Search
A lead can be found by name, phone, or email address — the same client can be found by any of the three.
