How to set up a rent-to-own contract

A contract is set up with a four-step wizard: product, client and vehicle, terms, schedule preview. Nothing is saved until you click a save button on the last step.

Setup steps

  1. Open “Rent-to-own” → “Contracts” and click “New contract”. Another way is the “Set up rent-to-own” button in the vehicle or client card: the vehicle or client will then already be filled in on the second step.
  2. Choose a product. Only active products are listed; if there are none, the wizard offers to go to products.
  3. Find the client — by last name, first name or phone — and the vehicle — by code or plate number. Only active vehicles are listed.
  4. Check the terms. They are filled in from the product, and any of them can be changed for this contract. Each less obvious field has an explanation under it.
  5. Check the schedule on the preview step: dates, amounts, row types. The preview doesn't save anything.
  6. Save the contract with one of two buttons: “Save draft” or “Save and activate”.

Tip

If you leave the wizard page without saving what you entered, the system will ask you to confirm. A draft is not created automatically — only with the button.

Contract terms

Besides the product terms, the third step sets what applies only to this deal.

FieldWhat it means
Start datePicked in the calendar, shown as DD-MM-YYYY. The schedule is calculated from it: the down payment and fee fall on this day, regular payments every period after it
Car priceThe vehicle's market price, for reference. Not included in the schedule or calculations
Buyout priceHow much the client pays for the vehicle. Greater than zero
Down paymentThe first installment toward the buyout price, on the start date. Less than the buyout price
DepositThe deposit of the contract booking. Not included in the buyout price or schedule
Setup feeA one-time payment on the start date. Not included in the buyout price
Auto-debitPayments that come due are debited from the client balance if it has enough money for the whole row
Refund buyout on terminationOn termination, the paid buyout part is returned to the client in the balance. Without this checkbox it stays with the company

The other fields — formula, period and term, rate, rental part, grace days, late fees, risk threshold, reminder — are described on the products page.

Draft or activate right away

ButtonWhat you get
“Save draft”The contract has the “Draft” status. There is no schedule or booking, and the terms can be changed
“Save and activate”The contract is saved and activated right away: the schedule is recorded, a booking is created, and the vehicle is occupied for the whole term

On activation, a contract booking is created: from the start date to the date of the last regular payment, with the deposit from the contract. From then on, the money, dates and vehicle of this booking are managed by the contract — see the section on the contract booking.

What is checked on activation

The vehicle must be available for the whole term of the contract — from the start date to the last regular payment. If it has other bookings on these dates, activation fails: the system shows “This car is booked for these dates”.

The draft is already saved by then, and the wizard gives a “Go to the contract draft” link. Next:

  1. Open the conflicting bookings and decide whether they can be moved to another vehicle or cancelled.
  2. If not, open the draft and change its vehicle or start date.
  3. Activate the draft again.

If the vehicle already has a draft or contract

A vehicle can have only one live contract — a draft or an active one. If you try to set up a second one, the vehicle field is highlighted: “This car already has a draft or active rent-to-own contract”, with a link to that contract next to it.

  1. Open the contract via the link.
  2. If it's a forgotten draft, cancel it and return to the wizard.
  3. If the contract is active, the vehicle is held by it until completion or termination. Choose another vehicle.
