How to add a vehicle to the fleet
The card of a new vehicle is filled in by groups.
Steps
- Open the fleet and create a vehicle.
- Fill in the identification: name, code, type. The code is a short identifier by which the vehicle will be recognized in all lists, so come up with it right away and systematically.
- Fill in the remaining groups of fields — you can complete them later.
- Save. The new vehicle is created in the current branch.
- If needed, change the branch in the saved vehicle card.
- Set the prices.
- Activate the vehicle separately when it is ready for bookings.
Important
After saving, the vehicle remains inactive. Prices alone are not enough: activate it in the card when its details and prices are ready so it can be selected for a booking.
Identification
Name, code, type and class of the unit, color, VIN, a free-form description. The code is a short identifier by which the vehicle is recognized in lists and filter labels.
Equipment
You mark the presence of ABS, climate control, an audio system, a CD system, and other equipment. These marks don't affect calculations — they help match a vehicle to a client's request.
GPS beacon
If a beacon is installed on the vehicle, enter its IMEI, phone number, and PIN. The IMEI field is labeled “Tracker IMEI” in the interface. GPS integration must also be connected to show the vehicle on the map.
Code and sort number
The code appears in all lists, filter labels, and mobile cards. Keep it short: a long code gets cut off on a phone and becomes unrecognizable.
The sort number sets the vehicle's order in all lists.
Leave gaps between numbers
Number with gaps — 10, 20, 30, not 1, 2, 3. Then a new vehicle can take its place without renumbering the whole fleet.
Fields you'll need later
Some fields aren't required for saving but are used later:
| Field | Where it's useful |
|---|---|
| Purchase date and price | Analytics and payback |
| Insurance deductible and maximum fine | Contract template |
| Cost of repairing a body part | Calculation for damage |
| Registration details | Automatic fine checks |
Tip
You don't have to fill them in when creating the vehicle — but each empty one will surface at the moment it's urgently needed.
