How to confirm a booking to the client

Confirmation is a separate action on regular booking cards, except for Localrent bookings. The notification block is hidden for technical bookings. Confirmation tells the client that the request has been accepted through the channels you choose.

Steps

  1. Open the booking card.
  2. Choose the channels with the switches on the card: email, messenger, or both.
  3. Click “Confirmation” — sending starts immediately, with no intermediate window.

The system then picks the template itself — based on the client's language.

Channels are chosen when sending

Email and messenger are turned on independently: you can send only an email, only a message, or both at once.

Each channel has its own requirement, and if it isn't met, nothing is sent through it:

ChannelWhat is required
EmailThe client has a valid email address
MessengerThe client has a phone number and the company has at least one messenger connected

Important

A missing address or phone number is not treated as an error — the confirmation simply goes out through the remaining channel. If the client says they received nothing, check their contact details on the card first.

The template is chosen by the client's language

The system looks for a confirmation template in the client's language. If there is no template for that language, the company's general template is used.

If you haven't set up your own template at all, the system's standard message is sent. It is correct but impersonal — your own template is worth setting up.

What you can insert into a template

The confirmation text can use booking and company data:

  • client — first name, last name, middle name;
  • booking — number, start and end dates, pickup and return locations, number of days;
  • vehicle — vehicle name;
  • money — price, total, deposit;
  • company — name, email, phone, address.

See document templates for more on the syntax.

Why the message doesn't arrive instantly

Messenger sending is queued with a small random delay — up to a minute. This protects against blocking: messengers treat a stream of identical messages sent in the same second as bulk messaging.

Tip

A delay of a minute is normal, not a glitch. Don't confirm the booking again: the client will get two messages.

Email is also sent in the background and may arrive with a delay.

Trail in the log

Every confirmation is recorded in the company's operations log: who confirmed it and which booking. It is used to sort out disputes — who informed the client and when.
