How to hand over a vehicle to a client
The handover records the vehicle's condition at the start of the rental and puts the booking into rental.
Only company staff can hand over vehicles. Permissions for agents to extend bookings are set in the agent card.
How to do a handover
- Open the booking card and start the handover.
- Inspect the vehicle together with the client. If damage marking is enabled in company settings, mark any damage on the diagram. Anything not marked now will be considered new at return.
- Enter the current mileage — excess mileage at return is calculated from it. This field is hidden for the “Bicycles” vehicle type.
- Mark cleanliness and fuel. If the tank isn't full, specify the remaining amount. For the “Bicycles” vehicle type, fuel fields are hidden; the cleanliness checkbox remains.
- Record the result of the technical check. If “Inspection passed” is unchecked, fill in the comment field that appears.
- Specify the additional equipment handed over with the vehicle.
- Confirm the handover.
Important
If you use the damage diagram, fill it in before handover. After the handover, any new mark on the diagram will look like damage caused by the client.
Tip
If payment hasn't been accepted yet, the system will warn you about it at handover. The warning doesn't block anything: the decision to hand over without payment is yours.
What is filled in
| Field | What it means |
|---|---|
| “Item is clean” | A mark that the vehicle was handed over washed |
| “Full tank” | A mark that the tank is completely full. Hidden for the “Bicycles” vehicle type |
| “Inspection passed” | A mark that the pre-handover inspection was done |
| “How many bars are missing in the tank?” | Filled in if the tank is not full. Hidden for the “Bicycles” vehicle type |
| “Current mileage” | Odometer reading at handover. Hidden for the “Bicycles” vehicle type |
| “Other equipment” | What was handed over in addition to the vehicle itself |
| “Comments on technical inspection” | Inspection notes; the field appears when “Inspection passed” is unchecked |
| Damage | Marks on the diagram, if damage marking is enabled for the company |
Why it's needed
The cleanliness and fuel marks at handover are compared with the same marks at return: a mismatch is grounds for a deduction.
