What to do when a rent-to-own payment is overdue

Being overdue under a contract is a state of a schedule row, not an event. The system marks it automatically once a day, charges a late fee according to the contract terms and changes the contract's discipline.

How to handle an overdue payment

  1. Open “Rent-to-own” → “Contracts” and click the “Overdue” or “At risk” counter above the list — only those contracts will remain.
  2. Open the contract and, on the “Schedule” tab, find the rows with a date in the “Overdue since” column. Overdue rows are always shown, even without the “Full schedule” switch.
  3. Contact the client and agree on payment.
  4. Accept the payment: it closes the earliest rows first, including late fees.
  5. Decide whether to waive the late fee — see below.

When a row becomes overdue

A contract has grace days — 5 by default. A row not fully paid by the due date plus the grace days gets the “Overdue since” mark the next day.

Example: the due date is the 10th, grace days are 5. If the row is not paid by the end of the 15th, it is overdue from the 16th.

A partial payment doesn't clear the overdue status — only full payment of the row does.

How the late fee is charged

Late fee typeHow it is charged
No late feeNot charged
FixedA single “Late fee” row for the set amount on the first day of delay
% per dayA single “Late fee” row that grows every day by a percentage of the overdue row's unpaid balance

A percentage late fee keeps growing until the overdue row is paid in full, and it never decreases on its own. No late fee is charged on a late fee.

A “Late fee” row gets a due date on the day it appears and joins the allocation queue along with the other rows.

Contract discipline

DisciplineWhen
OKThere are no overdue rows
OverdueThere is at least one overdue row
At riskThe number of overdue rows is at or above the contract's risk threshold — 2 by default

Late fees are not counted as rows.

Discipline improves immediately: when a payment fully closes an overdue row, the “Overdue since” mark is removed, and the discipline is recalculated right away — from “At risk” to “Overdue” or to “OK”. It gets worse only during the nightly recalculation: new overdue rows, late fees and notifications about them appear once a day.

Reminders and notifications

To whomWhen
The clientThe number of days set in the contract before the due date of a row on which nothing has been paid yet
The clientWhen the contract moves from “OK” to “Overdue” or “At risk”
The clientWhen a payment has closed a row, and when the contract is completed
The client and employeesWhen the balance was not enough for auto-debit
EmployeesWhen the contract has moved to “At risk” — a message in the bell with a link to the contract

Messages to the client are sent using the section's templates. The templates are created automatically, in the company's language, the first time a contract is activated in the company. If there is no template of the required type, the message is not sent.

Template texts

The section's template texts can't be edited in the interface yet — these are separate rent-to-own templates, not part of client notifications or booking messages. If you need different text, write to RentProg support.

How to waive a late fee

A “Late fee” row that is not fully paid has a “Waive” button.

  1. Click “Waive” on the late fee row.
  2. In the window, check the “Amount to waive” line: this is the late fee amount minus what has already been paid.
  3. Confirm.

Only the unpaid part is waived

Waiving doesn't return money already received. An unpaid late fee gets the “Waived” status; a partially paid one is reduced to the paid amount and becomes “Paid”.

Waiving is final: the late fee on this row no longer grows and is not charged again. A fully paid late fee can't be waived — it has no button.
