What the occupancy calendar shows

The occupancy calendar is a row for each vehicle with booking bars on a timeline. It shows what is booked, what is available, and where the gaps in the schedule are.

Important

The old version of the calendar is marked with a warning and will be turned off. Switch to the occupancy calendar — the warning contains a link to it.

Zoom

The timeline stretches and shrinks: with the zoom buttons in the panel, with the mouse wheel while holding Ctrl, or with a pinch on a touch screen. A separate button resets the zoom to the default.

The hourly view expands a day into hours — useful when several rentals of the same vehicle fall on one day.

Modes: what can't be combined

Modes are split into two groups, and they behave differently.

Only one can be selected — the calendar highlighting:

ModeWhat it highlights
“Handover”The moments the vehicle is handed over
“Idle gaps”Periods when the vehicle is available
“Overdue”Rentals that have run past their term
“Heatmap”Booking density
“Utilization”The fleet occupancy rate

Turning on a second mode from this group turns off the first — you can't see idle windows and overdue rentals in one picture.

In finance mode, the bar color shows the proportion paid. For a rent-to-own contract, this is relative to the full contract amount. The label on the bar shows how many term units are paid out of the full term: hours, days, weeks, or months, depending on the booking type.

Can be combined freely — the switches below them: “Compact view”, “Only flagged”, “Finance mode”, “History”. You can turn on all of them at once, and they are layered on top of the selected mode. “Only flagged” keeps vehicles whose condition needs attention.

Completed rentals are hidden by default

The calendar shows what is still in progress. Finished bookings appear only when history mode is on, and loading them takes time.

If you are looking for a past rental and can't find it on the calendar, this is almost always why.

The modes icon carries a counter of what is turned on — it shows that the picture is filtered even when the menu is closed.

Overdue start

A booking is marked as overdue at start if the rental should have started more than 12 hours ago but has never been switched to rental.

This is not about a client being half an hour late — the threshold is deliberately large. The mark means something else: the vehicle has most likely already been handed over, but this wasn't recorded in the system. Until the booking is switched to rental, it isn't counted as an active rental in calculations.

Technical and canceled bookings are not marked this way.

How to view a booking

Hover over a bar to see a short summary. Duration is shown in the units for the rental type: “h.”, “d.”, “w.”, or “mo.”. Clicking a bar opens the booking card.

Tip

On a phone, the card opens with a double tap: single taps on a narrow bar are too easy to make by accident.

Legend

The calendar legend is built from the same source as the rows themselves, so it can't get out of sync with the picture. It has two different layers:

  • the stripe to the left of a row — the vehicle's status;
  • the bar color — the booking type: request, rental, completed, technical.

The “Possible to rent” label on a vehicle means its current condition allows pickup.

Colored dots next to the vehicle code are its tags. Hover over them to read the names.

Grouping and tags

If the company has tag groups set up, the calendar can be grouped by one of them — rows are collected into blocks. The tag filter at the top narrows the list of vehicles regardless of grouping.

How to set up the view for the task

  1. Open the occupancy calendar.
  2. Choose one highlighting mode — it defines the picture: handovers, idle windows, overdue rentals, density or occupancy.
  3. Add switches on top of it: “Compact view”, “Only flagged”, “Finance mode”, “History”.
  4. Set the zoom with the panel buttons, the mouse wheel while holding Ctrl, or a pinch on a touch screen.
  5. If needed, group the rows by a tag group and narrow the list with the tag filter.

How to find a completed rental

  1. Turn on history mode — without it, finished bookings are not shown.
  2. Scroll the timeline to the dates you need: history is loaded with a separate request, and the bars won't appear immediately.
  3. Open the booking by clicking its bar — on a phone, with a double tap.
