Which client messages you can set up

Message templates fall into three groups based on what triggers them.

Confirmation and rejection

Two messages for when a request has been handled:

  • confirmation — the booking is accepted, and the client is given the details;
  • rejection — the booking is declined.

These are different templates: a rejection shouldn't look like a confirmation with changes.

Start and end notifications

Messages for handover and return. Each has its own version for email and for messenger — the texts differ because length and formatting differ.

Review reminders

A request to leave a review after the rental ends, also in two versions — email and messenger.

Tip

In a custom message, you can edit text inserted from a template before sending. A one-time edit doesn't change the template itself. Confirmation and rejection are sent as soon as their buttons are clicked, without a text editor.

What is sent from the card

MessageWhen
ConfirmationThe request is accepted
RejectionNothing to offer, or no agreement reached
CustomEverything else

A custom message consists of a subject and text. You can save it as a template and later pick it from a list — this way you build up a collection of wording that works for you.

Channels are turned on before sending

Before each send, you can see which channels are used, and you can turn off any of them. By default, if the client has an email address, the confirmation goes out by email.

Important

Messenger requires a connected and paid integration and a suitable phone number for the client. Without these, the channel simply won't work.

How to send a message from a booking

The notification block is available for regular bookings, except for Localrent bookings. It is hidden for technical bookings. Company employees and users with the “Agent” role can send confirmations. Rejections and custom messages are limited to company employees: “Employee”, “Manager”, “Branch manager”, and “Main Administrator”.

  1. Open the booking card.
  2. Choose channels with the switches on the card and turn off any you don't need.
  3. For a confirmation or rejection, click “Confirmation” or “Rejection” — the message is sent immediately.
  4. For a custom message, click “Using templates”, select a template or write a subject and text. Edit inserted text if needed; the one-time change won't update the template.
  5. Send the custom message from the window that opens.

How to create your own template

  1. Compose a custom message: subject and text.
  2. Save it as a template and give it a name.
  3. From then on, pick it from the list when sending.

Automatic templates are set up separately — see client notifications.
