How to plan the day's pickups and returns

The day plan is a feed of pickups and returns for the selected date in chronological order. It's how you organize the working day: you can see what happens and when.

Important

The day plan is not included in every subscription plan. If the page asks you to change your subscription plan, that's a limitation of your plan, not a malfunction.

Steps

  1. Open the day plan.
  2. Choose a date — today opens by default.
  3. Go through the feed from top to bottom: it is in chronological order, and it is a ready-made shift plan.
  4. Assign responsible employees to pickups and returns — the employee is notified immediately.
  5. Look at the day's deposits and income to get a rough idea of the shift's cash flow.

Tip

Assign responsible employees at the start of the shift. The notification arrives at the moment of assignment, and after the fact it no longer helps anyone.

Choosing a date

Today opens by default. On a computer, the choice is limited to today and future dates — the plan is for looking ahead, not back.

What goes into the feed

By default, the feed shows what is still to come. Bookings already picked up and already returned are hidden: they require no action.

To see the whole day, turn on showing all bookings — completed handovers will then return to the feed.

Pickup and return filters

Two filters narrow the feed:

  • “Only pick ups”;
  • “Only drop offs”.

Important

These two filters are mutually exclusive. Turning one on turns the other off — you can't see “Only pick ups” and “Only drop offs” at the same time. To see both, turn both off.

Deposits and income

Two totals for the selected day are shown above the feed. They are calculated by different dates and therefore don't reduce to each other:

TotalBy which dateMeaning
DepositsRental end dateHow much is due to be returned to clients
IncomeRental start dateHow much is due to be received, including deposits

Technical bookings are not included in either total — there is no money behind them.

Tip

So a day with large deposits and zero income is a normal picture: on that day there are only returns.

Responsible employee for a booking

You can assign a responsible employee from the plan. The assignment is not a note “for yourself”: the employee gets a notification in the app and, if they have Telegram linked, a message there too. The message says who exactly assigned them.

Tip

That's why it makes sense to assign a responsible employee at the start of the shift, not after the fact: the notification arrives at the moment of assignment.

What else goes into the plan

You can add maintenance, repairs, washing or tire service to the day plan — via a technical booking. This way the work is visible next to pickups and returns, not in a separate list.

The deposits total is approximate

Deposits are calculated from the amounts recorded in bookings, and partial refunds are not taken into account. If some bookings already had their deposit returned in parts, the actual amount to be returned will be less than shown.

To reconcile money, use the cash desk, not this figure.

Live updates

A dot in the panel shows the connection to the server. Green — the feed updates on its own as colleagues hand over and receive vehicles. Red — the connection is lost, and the feed may be out of date.
