What client booking statuses mean

A client status describes what stage of the conversation with the client a request is at. This is not the same as the booking state, which describes the rental itself.

A status doesn't control anything

Changing the status to “Active” or “Ride ended” does not start or end the rental. It is a label for people, not a command to the system.

The “Ride ended” status can only be set through the “Check in the item” action: selecting the status in the list does not process a return.

To hand over or take back a vehicle, use handover and return. A status set manually doesn't replace them and creates a mismatch between what is written and what actually happened.

Processing statuses

StatusWhen it is set
NewThe request has just come in
In processingA manager has taken it on
Waiting for client replyThe ball is in the client's court
Waiting for paymentTerms agreed, no money yet
ConfirmedThe client has confirmed
Not AcceptedThe client hasn't confirmed

Rejection statuses

StatusWhen it is set
Call not answeredThe client can't be reached
Client rejectionThe client turned down the rental
No carsWe turned it down: nothing to offer
CanceledThe arrangement was canceled

Keep rejection reasons separate

“Call not answered”, “Client rejection”, and “No cars” are three different business problems. The first means you are losing contact; the second, that the terms don't suit the client; the third, that your fleet is too small.

If you set “Canceled” on everything, you won't be able to recover this difference later.

Completion statuses

StatusWhen it is set
ActiveThe rental is in progress
Ride endedThe rental has ended
Refund depositWe still hold the deposit
OtherNone of the above

Important

“Refund deposit” is a working note, not an operation. The refund itself is made at return or as a separate payment; the status only reminds you that you still owe the client.

How to change the status

  1. Open the booking card.
  2. Select a status in the card header.
  3. The system saves it immediately — there is no separate button.

Who set the current status is shown on the card in the “Status assigned by” line — not in the header itself but below, among the booking details. The full change history opens from the header with a separate button.
