Where to start on your first day

The order below is not arbitrary: each step builds on the previous one. You can skip a step, but then some fields will have nothing to fill them with.

Start on a computer

Initial setup means a lot of fields and file uploads. It is possible from a phone, but there are many fields and uploads here, and on a small screen they are easy to miss.

The full order

  1. Remove the demo data.
  2. Fill in your company details and add branches.
  3. Add vehicles and set prices.
  4. Add employees and assign roles.
  5. Run one booking from start to finish.

Below are the details of each step.

Step 0. Remove the demo data

After sign-up, the system contains demo content — vehicles, clients, bookings. It is there to help you look around.

Important

Delete it before you start setting up your company. Demo records mix with real ones and later cannot be told apart: they end up in reports and spoil your very first numbers.

Step 1. Company

  1. Fill in the company profile: name, contacts, currency.
  2. If you have several locations, add branches.
  3. Set the rental terms: minimum age, minimum rental period, daily mileage limit, excess mileage price, buffer between rentals.
  4. Set the duration ranges — they determine which rate applies.

Company details are inserted into documents and emails to clients, so a mistake here spreads throughout the system. Branches are added before vehicles: each vehicle is tied to a branch.

Important

Company settings are saved with a button. A field you changed but didn't save will silently revert to its previous value the next time you open it.

This is also where the rental terms are set: minimum driver age, minimum rental period, daily mileage limit, excess mileage price, and the buffer between rentals. They apply to the whole fleet and will be checked on every booking from then on.

It is also worth setting the duration ranges separately — they determine which rate applies to a rental.

Step 2. Vehicles

  1. Add a vehicle — at a minimum, its name, code, and branch.
  2. Set its prices.
  3. Activate the vehicle.

The remaining fields can be filled in later, but the order of these three steps is strict.

A new vehicle is inactive

A newly added vehicle does not take part in rentals and is not priced until it is activated. And it cannot be activated without its basic prices.

So the order is: add → set prices → activate. Skip the middle step and you get a vehicle that looks set up but doesn't work.

About seasons: a season can cross the year boundary. A winter season from December to February is created as a single period — there's no need to split it in two.

Step 3. Employees

Add employees and assign roles. A role determines not only permissions but also which sections a person sees at all.

Step 4. First booking

  1. Create a booking.
  2. Do the handover.
  3. Accept the payment.
  4. Complete the return when the vehicle comes back.

One full run-through shows more than reading ten pages.

Use a REGULAR booking for your test

A technical booking has no rental calculation: its price fields are hidden, and you won't be able to go through payment on it. It is fine for seeing how the calendar gets blocked, but not as a test of the full cycle.

Create a regular booking for one of your own employees, take it all the way through, and then delete it.

Step 5. What to set up later

Once the basics work, add what you need:
