How an internal transfer differs from a debt payment

A transaction has two special modes, and they can't be turned on at the same time: each one turns off the other.

ModeWhat it means
Internal transferMoney is passed from one employee to another. The company hasn't earned or spent anything
Debt paymentPaying off a client's debt

Why they are mutually exclusive

These movements mean different things. An internal transfer doesn't change the company's total — it moves an amount from one employee's cash desk to another's. A debt payment, on the contrary, reduces the client's debt. A transaction that is both at once would have no unambiguous meaning in reports.

If the toggle can't be clicked

Check whether the other mode is on. While internal transfer is on, debt payment is unavailable, and vice versa.

When internal transfer is turned on, some fields are filled in automatically — you don't need to set them manually.

How to record an internal transfer

  1. Open the cash desk and create a transaction. The recipient records the transfer.
  2. Turn on internal transfer mode — the current user becomes the recipient.
  3. In “Select employee”, choose the employee you are receiving money from and enter the amount.
  4. Save: the transaction creates an expense for the sender and income for the recipient.

How to accept a debt payment

  1. Create an income transaction.
  2. Make sure internal transfer is off — otherwise debt payment mode is unavailable.
  3. Turn on debt payment mode and choose the client's debt.
  4. Save: the debt state will be closed with money, not with a mark.
