How rental prices work
Prices are set for each vehicle separately — there is no common price for the fleet.
Four price sets
| Set | When it applies |
|---|---|
| Daily | A regular rental for a day or longer |
| Hourly | A rental within one day |
| Weekly | A long-term rental by the week |
| Monthly | A long-term rental by the month |
The price per day isn't a single number
The daily price is set as a set of values by rental duration: one price per day for a short term, another for a long one. The rate is chosen by the total rental duration.
That's why a seven-day rental can cost less per day than a two-day one — this is built into the price set itself and isn't counted as a discount.
Seasons
A season is a date range set by the company. It can have its own price set: summer and winter rates differ, and the calendar switches between them automatically.
A set without a season is the base set: it applies when the booking date doesn't fall into any season.
Tip
If a price looks unexpected, check two things: which duration range the booking fell into and which season — both values change the rate independently.
What is required
Base prices are what the system uses to calculate the cost automatically. A vehicle with no price rows cannot be activated. If base prices are missing, automatic calculation cannot find a rate outside seasons, and you have to enter the booking cost manually. The hourly price and the deposit are set to zero on activation if you don't fill them in: the system won't ask, and the booking will be calculated without a deposit.
Deleting prices affects the past
Deleting a season takes its related prices with it. Deleting seasonal prices changes the recalculation of bookings already made. Base prices cannot be deleted: deletion is available only for seasonal sets.
If a price is no longer relevant, it's safer to set a new one than to delete the old one.
Prices changed — what happens to an old booking
When editing a booking, you can switch between current prices and the values at the time of creation for price sets that still exist. Switching back does not guarantee the original amount: deleted sets are not restored, and the current seasons, duration ranges, and calculation settings are used.
Important
If the booking has extensions, switching prices recalculates only the period before them. Extensions use their saved rates. If extensions cover the entire booking period, price switching is unavailable. After recalculation, compare the amount due with payments already made.
Manual calculation
By default, the cost is calculated automatically. Manual mode disables automatic calculation in the form. However, when creating a booking, a blank rental cost is calculated as the manual rate × the number of rental units, and a blank total is calculated from its components.
Tip
Manual mode is for non-standard arrangements. Check the total after saving and after changing the rental cost, extra hours, or services: it may be recalculated even in manual mode.
How to set prices for a vehicle
If “Check the prices” appears while creating a booking, click “Go to prices” to open the selected vehicle's price settings. After filling them in, return to booking creation and recalculate the cost.
- Open the vehicle card, the prices tab.
- Fill in the base daily prices by duration range — without them automatic calculation does not work outside seasons.
- Set the hourly price and the deposit if you need them: unfilled ones are silently set to zero.
- Add weekly and monthly sets if you rent for such terms.
- For seasonal rates, choose a season and set prices in it — the set without a season stays the base one.
- Save and activate the vehicle.
In the fleet list and vehicle card, an icon marks a vehicle with missing required prices. Its tooltip says “Prices are missing:” and lists the missing sets: “daily”, “hourly”, “weekly”, and “monthly”. The indicator is visible to staff roles — “Employee”, “Manager”, “Branch manager”, and “Main Administrator”. These four roles can create and edit price sets. Only “Branch manager” and “Main Administrator” can delete seasonal sets.
