What the day totals on the timeline show
Two figures are shown above the day plan. They are easy to mistake for parts of a single total, but they are calculated over different sets of bookings.
| Figure | Date used for selection | Meaning |
|---|---|---|
| “Deposits” | Rental end date | Deposits due to be returned on this day |
| “Income” | Rental start date | Charges for rentals starting on this day |
These are different bookings
“Deposits” is calculated for those who return a vehicle on this day. “Income” is calculated for those who pick one up on this day. Adding the two figures together makes no sense: they belong to different rentals.
Large deposits and zero income are normal when there are only returns that day.
The deposit is included in income
The “Income” figure counts the deposit as one of its components. So the “Deposits” figure is neither something subtracted from income nor an amount separate from it: it covers refunds for rentals ending on the selected day, not part of today's income.
Technical bookings are not included
Technical bookings are included in neither deposits nor income — there is no money behind them.
Hourly bookings are calculated differently
For an hourly booking, the extra charge for hours is not included in income. This is not a calculation error but a deliberate difference: for a daily rental, extra hours are a surcharge on top of the days, while for an hourly rental the hours themselves are what is rented, and including them again would double them.
These are charges, not receipts
The figures show how much should be charged, not how much money has come in. They are shown without rounding, so they can have fractional tails.
Don't compare them with the cash desk to the cent: the cash desk reflects money movement, the timeline reflects booking charges.
How to reconcile a day
- Open the day plan and choose a date.
- Check the list of pickups for that day: “Income” is calculated from them.
- Check the list of returns: “Deposits” is calculated from them, not from pickups — which is why the two figures don't add up.
- Open the cash desk if you need to compare with actual figures: the timeline shows charges, the cash desk shows money movement.
