How to perform an inspection at pickup and return
Inspections are available to employees after connecting the module and enabling it for the branch. The inspection template defines the zones.
How to open an inspection
- In the booking card, open the pickup dialog “Pick up parameters” or the return dialog “Drop off”.
- Find the “Photo damage inspection” block.
- Click “Start inspection” if no inspection has been performed, or “Resume inspection” if one has started.
The block shows whether an inspection has been performed, how many required zones have been captured, or that it is complete. Clicking “Start inspection” again resumes the same inspection without creating another one. A completed inspection has an “Open report” button.
What is on the inspection screen
The “Photo inspection” screen shows the “Pickup” or “Return” side, the version and, during a trial, the remaining trial photos. Each zone shows its name, hint, “Required” label and photo status.
| Status | What it means |
|---|---|
| “No photo” | The zone has not been photographed yet |
| “Checking” | The photo is being checked |
| “Retake required” | The photo failed a check; the reason is shown next to it |
| “Accepted” | The photo was accepted |
| “Accepted after 3 attempts” | The third attempt's photo was accepted |
| “Accepted without AI check” | The photo needs a manual review |
Return zones also show “Zone checked” with the outcome if it has been set. “What is preventing inspection completion” lists the remaining blockers. “Close” closes the screen; “Resume inspection” in the booking dialog lets you continue.
How to photograph a zone
- Select the zone and read its hint.
- Align the angle with the translucent ghost image in the viewfinder. This is a photo of the same vehicle zone from its previous completed inspection. If none exists, the template's example is shown; if there is no example either, only the hint is shown.
- Click “Take photo”. In the phone app, the system camera opens: the ghost or example is visible on the zone screen before taking the photo, not over the system camera.
- Wait for upload and checking. If the photo is rejected, address the reason using the table below and click “Retake”.
- Review the accepted photo, then click “Back to zones” and move to the next zone.
Inspections use only the camera: you cannot select a file from the gallery. If a camera is unavailable, “Camera unavailable on this device — inspections can only use the camera” appears. If the camera fails to open, check camera permissions and try again.
Photo checks and retake reasons
The device first checks sharpness, brightness and resolution. A rejection uses an attempt, but the photo is not uploaded. After upload, AI checks the angle and whether the photo is suitable for damage assessment.
- Read the reason next to “Retake required”.
- Address it using the table and click “Retake”.
| Reason | What to do |
|---|---|
| “Photo is blurry” | Take a sharp photo of the same zone |
| “Photo is too dark” | Retake the zone with sufficient lighting |
| “Photo is overexposed” | Retake without overexposure |
| Insufficient resolution | Use the resolution specified in the on-screen message |
| “Wrong vehicle zone” | Photograph the selected zone using its hint and example |
| “Zone is obstructed” | Photograph the zone without the obstruction |
| “Move closer to the vehicle” | Take the photo from a shorter distance |
| “The photo is not suitable for damage assessment — retake the zone.” | Retake the zone using its hint |
There are 3 attempts per zone. The third is uploaded and accepted even if it fails the checks; its status is “Accepted after 3 attempts”.
If upload fails, “Retry upload” is available. If checking takes too long, “The check is taking longer than expected. Refresh the result.” appears with “Refresh result”.
Photos without an AI check
If AI is unavailable, disabled or the trial allowance is exhausted, the photo is marked “Accepted without AI check” with an explanation. You can complete the inspection; the absence of an AI check does not itself block pickup or return. The inspection completion requirements still apply.
- Review the photo manually and draw any damage findings.
- At return, set “Zone checked” after reviewing each required zone.
How to retake an accepted zone
- Open the zone and click “Retake zone”.
- Take a new photo. A new series of up to 3 attempts starts.
- Wait for acceptance: only then does the new photo replace the previous one.
Findings restrict zone retakes
If the current photo has confirmed findings, retaking it is unavailable: “This photo has confirmed findings and cannot be retaken.”
How to recover a photo after the app restarts
If Android closed the app while taking a photo, the photo may be found when you return to the zone.
- Return to the zone and check for “A photo taken before the app restarted was found”.
- Click “Use captured photo” or “Retake” if you need another photo.
How to complete an inspection
- Make sure every required zone has an accepted photo.
- At return, review the photos and set “Zone checked” for every required zone.
- Resolve every “Damage passport record is outdated” case: mark the linked finding as new or reject it.
- Check “What is preventing inspection completion” and click “Complete inspection”.
Unresolved warnings at pickup and in optional zones do not prevent completion. Once the inspection is complete, new confirmed findings are added to the passport and a report PDF is generated. View the result through “Open report” — see the report and damage passport.
A completed inspection cannot be edited directly
Use “Retake inspection” to make changes after completion. This action is available only to manager roles.
How to close an inspection as incomplete
This action is available to the “Main Administrator”, “Branch manager” and “Manager” roles for an inspection that has started.
- In the module block of the pickup or return dialog, click “Close as incomplete”.
- Read “Close the inspection as incomplete? Its results will not be added to the damage passport.”
- Click “Close inspection” or “Cancel”.
An inspection closed as incomplete does not count as performed
Its findings will not be added to the damage passport. In strict mode, pickup or return still requires a completed inspection of the current vehicle.
How to retake the entire inspection
- Click “Retake inspection” in the completed inspection block. This action is available to manager roles.
- Perform and complete the new inspection.
The previous version is archived and appears in the report as “Previous version”. Its records are removed from the passport; the previous PDF is retained, and a new one appears after the new inspection is completed. The new inspection's photos are charged again.
A later inspection prevents retaking
If a later inspection has already started for the vehicle, “Cannot retake: a later inspection has already started for this vehicle; correct the records by revoking them in the damage passport” appears. In this case, correct the error by revoking the incorrect passport record.
If another inspection prevents starting
The vehicle may have an unfinished inspection for another booking or side. In this case, “The vehicle has an unfinished inspection — complete or close it first” appears with the blocking inspection's number.
- Find the inspection using the displayed number and complete it, or ask a user with a manager role to close it as incomplete. They can also close it from the blocking inspection message.
- Return to the booking you need and start the inspection.
Starting a return inspection automatically closes an unfinished pickup inspection for the same rental and the same vehicle.
